Donations

I am on a friends of committee for a performing arts school I have only just recently taken on the role that I have. The freinds of committe are financing a production so that it is inclusive of all the performers at the dance school regardless of their ability, age etc It is not for profit it is so that our performers have an opportunity to entertain the local community. Any funds raised go straight back into the freinds of pot where we purchase costumes to ease the burden on parents, have childrens parties, theatre trips et, etc, etc. and again have the backing funds to finance the annual show.

I am not clear where we stand in a situation where a sports club donate a kit on laon to us for a number in the show a free ad has been offered by a non member of the committee in the programme for the show(this is not normally offered to other donating orgs) I would prefer they have a special mention in the acknowledgement section like all our other donating organisation as other organisations pay to have an ad.
Some think it is an opportunity to hire the kits to the performers in that number and use the money raised from that to advertise the sports club. This doesn't rest well with me as I feel if it is a free donation loan then surely the kits should be FOC to the pefomers although if they would like to donate a little something for the use we would be more than grate ful.
Not sure where we would stand legally on this, I hope I have explained this so that it is understandable. can you advise?

Thank you for your response, The dance school is a fee paying school and the freinds of committee is a charitable organisation not a charity.

You haven't said whether or not you're a charity, but either way, you've done the right thing by raising the issue.

"Friends" groups are often caught in the crossfire in situations like this, and Directors seem to feel able to ride roughshod when they have their own agendas. If the School is a Charity, the Trustees should be made aware; otherwise, you've done all you can.

Thanks for your response. The non committe member was the dance school director. She feels that because she started the committee a long time ago and even though she is not on it now and that becasue she is the dance school director she has the right to offer what she likes. It was put to the committee vote and everyone voted yes to the hire fee but not to pay for the ad but to put it in the fundraising funds for costumes. All the committee members said that they felt to save face that the ad should be put in free gratis although as you suggested I proposed a photo of the boys wearing the kit in the programme with a caption underneath and under the running order of the show in the prgramme to put under where the number is placed to say that the kit was sponsored by the sports club and to put it in the acknowledgement section of the programme instead she wanted all that as well as the ad. The committee voted for. Still doesn't rest well with me but hey at least the whole committee are aware of what is going on and this makes everyone responsible for the decision.

How does a non-member of the committee have authority to offer free advertising? Can you explain the situation to the sports club donor? - tell them that the person who offered the free ad should not have done so and explain your normal procedures? If other donors find out that someone got an ad and they didn't, then you could be running into problems. If your advertising posters/fliers/programmes have pictures on them, perhaps you could offer the donor an alternative: inclusion of a rehearsal photo of the performers wearing the kit.

I'm not sure I got this bit. Are you saying that the committee has suggested that the performers cover the cost of the advertisement by paying for their kits?

I am not a lawyer. However, I think it's an all or nothing thing. If you ask ALL performers to make a small contribution to their costume hire - not just the ones using the sports kits - I can't see any legal problem with this, *as long as* you haven't told donors that there is no charge to performers.
